About the role Estates Coordinator Working hours Full time 37 hours per week (flexible working arrangements including part time will be considered) Permanent Salary up to £33,600 per year (depending on experience) Location Pity Me, Durham / Hybrid working About the role We have an opportunity to join the Estates team as our Estates Coordinator, a key support role to ensure smooth and efficient estate operations. You'll join an experienced team who will support your transition into the role. Daily, you'll monitor the estates workbasket ensuring tasks are appropriately assigned to the correct team member. This includes monitoring case progress to ensure tasks are completed. You'll act as a point of contact for property-related queries and support project work to ensure effective operational delivery. Your accuracy and attention to detail are key as you will maintain accurate property records, raise purchase orders, invoices and process payments within agreed timescales. The successful candidate will also support project activities to ensure smooth operational and financial processes within the Estates function. About you If you have administration experience, ideally within property, legal, or finance industry then we want to hear from you. This is a fast-paced team which means we're looking for someone familiar with managing multiple tasks whilst meeting deadlines. You'll be a problem solver with experience managing stakeholders as you'll support internal teams and external stakeholders. You'll have knowledge of rent collection, invoice processing, and financial record-keeping. An understanding of land and property legislation and estate management principles is valuable within this role too. Governance is essential as you'll ensure records are maintained in line with company policies. It would be useful to have experience working with Geographical Information Systems (GIS) or digital property records and have a knowledge of land ownership, lease agreements, and compensation processes. However, we can provide the successful candidate with training to support their knowledge on these areas. Estates Coordinator

Job Overview The Strategic Asset Manager will have oversight and ownership of the contract's constantly evolving Asset and PPM database, held within our CAFM system - Maximo. Alongside a small team of colleagues, you will co-ordinate and manage changes to the database resulting from contractual, technical and legislative changes. With c. 900 buildings, 140,000 assets and 14,000 PM to administer the role is challenging but rewarding. It is a role that requires a very high level of attention to detail to ensure that the standardisation and integrity of the Asset and PPM database is maintained throughout the life of the contract. Candidates will be required to meet the requisite vetting standards (BPSS &amp; NPPV Level 2) to work on applicable DfT sites and manage data. Responsibilities Include: <ul> <li>Ensuring that all asset data within in the CAFM system (Maximo) is accurate and up to date </li> <li>Ensuring Planned Preventative Maintenance (PPM) plans in the CAFM system (Maximo) are accurate and up to date. </li> <li>Reporting to the client in relation to assets and Planned Preventative Maintenance (PPM) plans, in line with contractual requirements.</li> <li>Generation of the contractual Forward Maintenance Plan (FMP) and Capital Replacement Plan (CRP) for each business unit and across the contract as a whole. </li> <li>Work with operational and support colleagues to ensure that assets and Planned Preventative Maintenance (PPM) records are managed via an auditable change process that flows through to the master asset register.</li> <li>Co-ordinate and manage changes to Maximo resulting from contractual, technical and legislative changes - for example, changes derived from SFG20. </li> <li>Carry out a programme of site asset validations - with all deviations highlighted and discussed with the client as required through contractual commercial processes.</li> </ul> <ul> <li>To carry out training of operational teams at site level as required, and to take part in delivering induction training in relation to asset management as part of the new starter programme.</li> <li>Comply with all current UK and European Health &amp; Safety Environmental Legislation.</li> <li>Comply with all Mitie and client Safe Systems of Work, Standards, Policies &amp; Procedures.</li> <li>Deliver training and awareness to technical and non-technical staff as necessary or instructed.</li> <li>Attend client and regional internal meetings as necessary and as contractually required. </li> </ul>Who we are looking for: <ul> <li>A candidate with extreme attention to detail</li> <li>An attitude for continuous improvement, and ability to work with minimal supervision</li> <li>Experience in computerised PPM schedules and CAFM systems - preferably Maximo</li> <li>Good knowledge of mechanical and electrical building services, building fabric and the interaction between them</li> <li>Knowledge of asset management principles and maintenance requirements</li> <li>Knowledge and experience of Safety, Health, Environmental &amp; Quality systems</li> <li>Good presentation, influencing and motivation skills with both front line operatives and office based staff</li> <li>Experience in Life Cycle Planning/Costing</li> <li>Knowledge of statutory compliance and current legislation, regulations and standards</li> <li>Good commercial and financial acumen and clear and concise oral and written communication skills</li> <li>Ability to make decisions, take the initiative and originate action.</li> </ul>Our market-leading offering provides you with benefits that suit your lifestyle. As newly appointed Investment Adviser to the Fund, Atrato's priority will be to identify the issues facing the Fund and work with to resolve the issues. The Fund aims to lease its properties on a variety of lease terms and as such the funds oversight and operation of its properties will depend on the occupier.
