About the role Estates Coordinator Working hours Full time 37 hours per week (flexible working arrangements including part time will be considered) Permanent Salary up to £33,600 per year (depending on experience) Location Pity Me, Durham / Hybrid working About the role We have an opportunity to join the Estates team as our Estates Coordinator, a key support role to ensure smooth and efficient estate operations. You'll join an experienced team who will support your transition into the role. Daily, you'll monitor the estates workbasket ensuring tasks are appropriately assigned to the correct team member. This includes monitoring case progress to ensure tasks are completed. You'll act as a point of contact for property-related queries and support project work to ensure effective operational delivery. Your accuracy and attention to detail are key as you will maintain accurate property records, raise purchase orders, invoices and process payments within agreed timescales. The successful candidate will also support project activities to ensure smooth operational and financial processes within the Estates function. About you If you have administration experience, ideally within property, legal, or finance industry then we want to hear from you. This is a fast-paced team which means we're looking for someone familiar with managing multiple tasks whilst meeting deadlines. You'll be a problem solver with experience managing stakeholders as you'll support internal teams and external stakeholders. You'll have knowledge of rent collection, invoice processing, and financial record-keeping. An understanding of land and property legislation and estate management principles is valuable within this role too. Governance is essential as you'll ensure records are maintained in line with company policies. It would be useful to have experience working with Geographical Information Systems (GIS) or digital property records and have a knowledge of land ownership, lease agreements, and compensation processes. However, we can provide the successful candidate with training to support their knowledge on these areas. Estates Coordinator

Job Title: Strategic Asset Manager Location: T2 Trinity Park Working hours: 40 hours per week The Strategic Asset Manager will have oversight and ownership of the contract's constantly evolving Asset and PPM database, held within our CAFM system - Maximo. Alongside a small team of colleagues, you will co-ordinate and manage changes to the database resulting from contractual, technical and legislative changes. With c. 900 buildings, 140,000 assets and 14,000 PM to administer the role is challenging but rewarding. It is a role that requires a very high level of attention to detail to ensure that the standardisation and integrity of the Asset and PPM database is maintained throughout the life of the contract. Candidates will be required to meet the requisite vetting standards (BPSS &amp; NPPV Level 2) to work on applicable DfT sites and manage data. The Strategic Asset Manager will be ensuring that all asset data within the CAFM system (Maximo) is accurate and up to date, ensuring Planned Preventative Maintenance (PPM) plans in the CAFM system are accurate and up to date. You will report to the client in relation to assets and PPM plans, in line with contractual requirements and generate the contractual Forward Maintenance Plan (FMP) and Capital Replacement Plan (CRP) for each business unit and across the contract. You will work with operational and support colleagues to ensure that assets and Planned Preventative Maintenance (PPM) records are managed via an auditable change process that flows through to the master asset register. Additional responsibilities include: <ul> <li>Co-ordinate and manage changes to Maximo resulting from contractual, technical and legislative changes - for example, changes derived from SFG20. </li> <li>Carry out a programme of site asset validations - with all deviations highlighted and discussed with the client as required through contractual commercial processes.</li> </ul> <ul> <li>To carry out training of operational teams at site level as required, and to take part in delivering induction training in relation to asset management as part of the new starter programme.</li> <li>Comply with all current UK and European Health &amp; Safety Environmental Legislation.</li> <li>Attend client and regional internal meetings as necessary and as contractually required. </li> </ul>To be successful in this role, you will have experience in computerised PPM schedules and CAFM systems, preferably Maximo and good knowledge of mechanical and electrical building services, building fabric and the interaction between them. You will have knowledge of asset management principles and maintenance requirements as well as experience of Safety, Health, Environmental &amp; Quality systems. The Fund has suffered tenant, property and governance issues and Atrato have been appointed to stabilise the portfolio. The Fund owns 900+ properties with c. 6,000 lettable bed spaces. As newly appointed Investment Adviser to the Fund, Atrato's priority will be to identify the issues facing the Fund and work with to resolve the issues. It will be the responsibility of the Property Manager to manage the Fund's property portfolio dealing with its tenants and external property managers. The Fund aims to lease its properties on a variety of lease terms and as such the funds oversight and operation of its properties will depend on the occupier. The Fund has numerous historic issues and the candidate will need experience of gaining vacant possession and overseeing capital works projects. The Property Manager will be responsible for owning the relationships with external property managers, managing them within the confines of their KPIs, and responsible for reporting property management including property valuation inspections and the Fund's insurance policy.
