Purpose of the role

This role offers an exciting opportunity to play a vital part in shaping the future of ZSL's world-renowned sites at Regent's Park and Whipsnade Zoo. As a key member of the Estate Transformation team, you will provide essential administrative, communication, and coordination support across capital projects, facilities, and estate management. Your work will directly contribute to creating and maintaining exceptional spaces that support our mission to save wildlife and inspire people to protect the natural world.

The post holder will be primarily based at our Regent's Park office at least three days a week (with flexibility for more during peak project periods) and will also support operational meetings at Whipsnade Zoo on a semi-regular basis, helping to ensure that both of our iconic zoos continue to deliver outstanding visitor experiences and world-class animal care.

Key responsibilities:

  • Project & Programme Coordination: Provide administrative and coordination support to the team through cross-departmental and cross-site monitoring and coordination of projects and programmes.
  • Executive & Team Support: Support the Director of Estates Transformation and Senior Management Team with the preparation of agendas, minute-taking, meeting coordination, basic financial management (i.e. raising purchase orders, filing invoices etc), and other similar administration tasks.
  • Data & Systems Management: Responsible for department database and the Computer-Aided Facilities Management (CAFM) system, including the updates and maintenance of data-entry, ensuring accuracy and timely inputting and reporting.
  • Document Management: Implement a document management system to support consistency across the department and ensure current and historic project, design and survey data is accessible.
  • Reporting & Audit Preparation: Support the preparation of key documents for audits and monthly reports.
About You

  • Previous experience in working and supporting large teams in an administrative or coordination focussed role.
  • Proven experience in undertaking agenda preparation, minute taking, report preparation and similar administrative tasks.
  • Previous experience of document management
  • Good skills in using MS office packages, specifically Powerpoint, Outlook and Excel.
  • Excellent communication and internal customer service skills.
