Your future, your role
As an Estates Coordinator, you'll be:
• Working closely with the Estates Surveyors and Finance, the Estates Coordinator will be responsible for ensuring that systems are kept up to date, that we are paying the correct rent to Landlord's and processing any new Standing Orders and BACS requests to Finance following any lease changes
• Primary responsibility for maintaining property systems, data bases, digital/hard copy files for all property documents and trackers including Critical Dates & Surplus Property
• Supporting the Estates Surveyors around the raising of capital expenditure requests and purchase orders for suppliers for professional instructions.
• Coordinating 3rd party consultants around surplus property compliance and ensuring that vacant sites are 100% compliant across the estate wherever possible.
• Communication of any relevant portfolio changes to wider internal/external stakeholders.
• Working closely with finance to resolve discrepancies between systems. Primarily rent.
• Providing property maintenance support as necessary to the Estates Surveyors and maintaining the works tracker/communication with internal stakeholders (e.g. H&S or Facilities) on progress and completion of outstanding issues.
• Budgeting support to the Head of Estates & Estates Surveyors as required.
• Responsible for collating all LL insurance documents and saving to the property drive once approved and for sharing the policy documents of self-insured sites with Landlords on request.
• Maintenance and Management of the Estates inbox ensuring that items are dealt with promptly
• Other general administration support including dealing with incoming calls, post, filing etc.
• The ideal candidate will and a strong background in administration with excellent organisation and a strong attention to detail.
• The ideal candidate will have worked in a property environment, be familiar with and capable of dealing with property queries and be used to working as part of a wider team with multiple stakeholders.
• The candidate should have a excellent communication skills, and be able to demonstrate an ability to develop relationships to resolve issues/tasks in an efficient manner.
• The candidate will be highly self-motivated, be a good team player and able to work under your own initiative. Flexibility will be essential to support wider business requirements
• The ideal candidate must be capable of managing, prioritising, and organising their own workload to support the wider team
• Experience in a medical related property field is desirable but not essential so long as you have a strong track record of delivery and can demonstrate a skill set across the other key competencies.
• Being proficient in Microsoft software is essential
