The difference you will make as a Voids Administrator:
You will be responsible for actioning all new voids, raising purchase orders, monitoring ongoing works, ensuring all activities are accurately captured and supporting the Voids Surveyor in efficiently turning around void properties. This role is crucial in maintaining our high standards of property management and ensuring that void periods are minimized.

We are looking for someone with:
• Previous experience in an administrative role, preferably within property management or a related field.
• Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and property management software.
• Communication: Excellent verbal and written communication skills.

Role Profile
• Receive and process all new void notifications.
• Ensure timely and accurate data entry into the property management system.
• Generate and issue purchase orders for required works and services.
• Liaise with suppliers and contractors to confirm order details and delivery timelines.
• Track the progress of all void-related works to ensure timely completion.
• Coordinate with contractors to address any issues or delays.
• Maintain comprehensive records of all void works undertaken.
• Ensure all activities are documented and logged in the system for accountability and reporting.
• Assist the Voids Surveyor with scheduling and coordinating inspections.
• Provide administrative support and prepare necessary documentation for inspections and handovers.
• Facilitate effective communication between the Voids Surveyor and contractors
• Prepare regular reports on void status, progress, and any issues encountered.
• Ensure all documentation is complete and up-to-date for internal and external audits.
• Identify and suggest improvements to processes to enhance efficiency and reduce void periods.
• Participate in team meetings and training sessions to stay updated on best practices and company policies.
